Get a Monday.com expert working in your account

You already know Monday.com is the right tool. The problem is that building it out correctly, keeping it maintained, and getting your team to actually use it takes time you do not have. Trusty Oak's fractional specialists work directly inside your Monday.com account to build boards, configure automations, and connect your other tools, so the platform does what you bought it to do. This is not consulting or advice. It is hands-on work, logged and documented, delivered on your timeline.

What our team does with Monday.com

Concrete work our fractional specialists take on inside your Monday.com account. No vague promises.

Build and configure boards from scratch

Our specialists design boards with the right column types, group structures, and item hierarchies to match your actual workflow, not a generic template. We set up subitems, mirror columns, and linked boards so data flows between teams without duplication. You get a board your team can use on day one, not one you have to rebuild later.

Build automations that replace manual handoffs

We configure Monday.com's native automation recipes to trigger status changes, assign owners, send notifications, and move items between boards based on conditions your team sets. Where native automations fall short, we connect Monday.com to Make (formerly Integromat) or Zapier to handle multi-step logic. Every automation is documented so you know exactly what fires and why.

Audit and fix broken or underused workspaces

If your Monday.com account has accumulated unused boards, inconsistent column naming, broken automations, or duplicate workspaces, we do a full audit and clean it up. We identify which boards are actively used, which can be archived, and where automation is failing silently. You get a written summary of what we found and what we changed.

Integrate Monday.com with your CRM, communication, and billing tools

We build and maintain integrations between Monday.com and tools like HubSpot, Salesforce, Slack, Gmail, QuickBooks, and Google Calendar using native integrations and third-party connectors. This includes mapping field relationships, handling authentication, and testing data sync in both directions. When an integration breaks after a platform update, we catch it and fix it.

Set up dashboards and reporting views for leadership

We build Monday.com dashboards using widgets like battery, chart, timeline, and workload views so stakeholders can see project status, team capacity, and deadline risk without digging into individual boards. We configure the right data sources for each widget and set permissions so each audience sees what they need. Dashboards are built to be maintained, not just delivered once.

Migrate data from spreadsheets, Asana, ClickUp, or Trello into Monday.com

We handle the import process for clients moving into Monday.com from another tool or from manual tracking in spreadsheets. This includes mapping old fields to new column types, cleaning data before import, and rebuilding any workflow logic that existed in the previous tool. We flag anything that does not translate cleanly and give you options before we migrate it.

How Trusty Oak supports Monday.com workflows

How the Monday.com handoff works

During onboarding, your dedicated Client Success Manager reviews your existing Monday.com workspace (or your planned use case if you are starting fresh) and documents what is working, what is broken, and what is missing. From that audit, we build a prioritized roadmap of board builds, automations, and integrations in the order that delivers the most value first. Your specialist works directly in your account with permissions you control, and documents every change in a shared log so nothing is a black box. You approve the scope of each workflow before we build it, and you own everything we create. If your needs shift, the roadmap shifts with them on a month-to-month basis after your initial three-month commitment.

Common Monday.com workflows we build

A few of the most common workflows our team has deployed with Monday.com.

1

New form submission to assigned board item with Slack alert

When a client submits a Monday.com form (intake, request, or order), we configure an automation that creates a new item in the correct board, assigns it to the right team member based on a column value, and posts a Slack message to the relevant channel. The submitter receives a confirmation email triggered from the same automation.

2

Status change to invoice creation in QuickBooks

When a project board item moves to a status like 'Delivered' or 'Approved,' we use a Make scenario to create a draft invoice in QuickBooks with the client name, project details, and amount pulled from Monday.com columns. This removes a manual billing step and gives the finance team a consistent trigger to work from.

3

HubSpot deal stage to Monday.com project kickoff

When a deal reaches 'Closed Won' in HubSpot, we trigger the creation of a new project board item or full subitem set in Monday.com, pre-populated with the client name, deal value, and expected close date. The account manager is assigned automatically and a due date is calculated based on a formula column.

4

Recurring task generation for weekly or monthly operations

For clients with repeating operational work, we configure Monday.com's recurring item feature or a Make scenario to generate a new set of tasks on a defined schedule, assign them to the correct owners, and set due dates relative to the creation date. This replaces manual task creation at the start of each cycle.

5

Overdue item escalation to manager with email summary

We build an automation that checks for items past their due date with a status that is not 'Done,' then sends a daily or weekly email summary to the project manager listing what is overdue, who owns it, and by how many days. This runs without any manual input and replaces the need for a status meeting just to surface blockers.

Frequently asked questions

You grant access at whatever permission level you are comfortable with. Most clients add their specialist as a member with access to specific boards or workspaces rather than full admin. We will tell you exactly what permissions we need for each task, and you retain full ownership of your account at all times.
Both options work within our monthly talent budget model. Some clients use their hours for a focused build over one or two months, then reduce hours for ongoing maintenance. Others keep a consistent monthly allocation for continuous updates, new board builds, and automation fixes as their business changes. Unused hours roll over each month, so you are not penalized for lighter months.
We work in all three platforms and will give you an honest answer during onboarding if your use case is a poor fit for Monday.com. Monday.com tends to work well for teams that need visual project tracking, cross-functional dashboards, and flexible column-based data structures. If your team needs heavy task dependency logic or document-centric workflows, we will say so before you invest in a build.
After your onboarding call and Strategic Delegation Plan are completed (typically within the first week), your specialist can begin active work in your Monday.com account. The one-time $300 onboarding fee covers the planning and setup phase. Most clients see their first deliverable, whether a new board or an automation, within the first two weeks.
Everything we build lives in your Monday.com account and belongs to you. We document all automations, integration credentials, and board structures in a handoff document as part of our ongoing work, not just at the end of an engagement. If you stop working with us, you have a fully functional account and written documentation of how everything works.
