Project Management
Get a Notion expert working in your Workspace this week
You already know what your Notion workspace should do. The problem is that building it, fixing it, and keeping it current takes hours you do not have. Trusty Oak's fractional specialists work directly inside your Notion account, not alongside it, handling the builds, database logic, and ongoing upkeep that keep falling to the bottom of your list. Whether you have a half-built workspace or a blank slate, we pick up where you left off.
What our team does with Notion
Concrete work our fractional specialists take on inside your Notion account. No vague promises.
Build Relational Database Systems from Scratch
Our specialists design multi-database Notion setups using linked databases, rollup properties, and relation fields to connect your projects, clients, tasks, and resources. We configure filtered views (board, calendar, gallery, table) so each team member sees exactly what they need. Every database is built with your real data and naming conventions, not a template you have to reverse-engineer.
Configure Automations and Button Actions
We set up Notion's native automations to trigger status changes, assign owners, create sub-tasks, and send notifications based on property updates. For workflows that go beyond native automations, we build Make or Zapier connections that push data between Notion and your other tools. Each automation is documented inside the workspace so your team knows what fires and why.
Organize and Audit an Existing Workspace
If your Notion workspace has grown into a tangle of duplicated pages, orphaned databases, and inconsistent naming, we conduct a full structural audit and rebuild the information architecture. We consolidate redundant databases, standardize property types, and create a sidebar hierarchy that reflects how your team actually works. You get a written summary of every change made and why.
Build Team Wikis and SOPs with Consistent Formatting
We create structured knowledge bases using Notion's synced blocks, toggle headings, and callout blocks to make SOPs scannable and maintainable. Each SOP page is templated so new entries follow the same format without requiring someone to copy and edit manually. We also set up a master index database so your team can filter and find any doc by department, owner, or status.
Create Project and Client Dashboards
We build linked views that pull data from your project, task, and client databases into a single dashboard page, giving stakeholders a real-time snapshot without needing to dig through multiple pages. Dashboards include filtered gallery or board views, progress rollups, and date-based calendar views tied to actual project milestones. We configure these for the specific role that will use them, whether that is an operator, an executive, or a client-facing account manager.
Migrate Content and Data into Notion from Other Tools
We handle structured migrations from tools like Asana, Trello, Airtable, Monday.com, and ClickUp, mapping fields and statuses to their Notion equivalents before importing. For content migrations from Confluence or Google Docs, we reformat pages to use Notion's native blocks and embed relevant databases where appropriate. We validate the migrated data against the source before handing the workspace back to you.
How the Notion handoff works
During onboarding, your dedicated Client Success Manager reviews your existing Notion workspace (or your goals if you are starting fresh) and works with you to build a Strategic Delegation Plan that prioritizes which databases, automations, and pages to tackle first. Your assigned Notion specialist then works directly inside your workspace, using a shared task log or a dedicated Notion page to document every build decision, property change, and automation added. Nothing is deployed without your review, and we flag any structural choices that could affect how your team uses the workspace before making them. Ongoing support hours can be used for new builds, iterative improvements, or routine maintenance like updating filtered views, fixing broken relations, or adding new team members to permission groups. You retain full ownership and admin access to your workspace at every stage.
Common Notion workflows we build
A few of the most common workflows our team has deployed with Notion.
New client signed → Notion client record created → onboarding task list generated
When a deal closes in HubSpot or a form is submitted via Typeform, a Make automation creates a new page in the Clients database with pre-filled properties and triggers a linked template to generate the standard onboarding task list. The project lead is auto-assigned and a due date is set based on the contract start date.
Task status changed to 'In Review' → Slack message sent to reviewer
Using Notion's native automations, when a task's Status property is updated to 'In Review,' a notification is sent to a designated Slack channel tagging the assigned reviewer. This removes the need for manual follow-up messages and keeps the review queue visible without a separate project management layer.
Weekly team meeting → action items logged → owner assigned → deadline tracked
We build a Meeting Notes database with a recurring template that includes an action items table linked to the main Tasks database. After each meeting, action items entered in the notes page automatically appear in the assignee's personal task view, filtered by due date, without any copy-paste required.
New content brief created → editorial calendar updated → status tracked through publication
We configure a Content database with a Kanban view mapped to editorial stages (Brief, Draft, Review, Scheduled, Published) and a calendar view filtered by publish date. Each content page uses a standardized template with fields for target keyword, assigned writer, word count, and linked assets, so editors and writers work from the same record through the entire lifecycle.
Form submission via Tally → filtered into Notion intake database → routed by type
Tally form responses are pushed into a Notion database via Zapier, with a Select property auto-populated based on the form field answers. A filtered view then surfaces each submission to the correct team (sales, support, or ops) based on that property, replacing a shared inbox with a structured, trackable intake queue.
