Frequently asked questions

The most common approach is sharing login credentials through a secure password manager like 1Password, which keeps your credentials encrypted and lets you revoke access at any time. ChatGPT does not currently support multi-user seat access on most plans, so we work with whatever secure access method you are comfortable with. You retain full ownership of the account and all custom GPTs built inside it.
Both options exist depending on how you use your monthly hours. Some clients bring us in to build and document a set of GPTs and then manage them internally, while others keep a specialist on retainer for ongoing maintenance, prompt refinement, and new builds as their needs grow. Unused hours roll over each month, so you are not penalized for lighter months between major updates.
ChatGPT is a strong fit for text generation, summarization, custom GPT builds, and API-connected workflows, but it is not always the best tool for every AI use case. If your priority is document search across a large internal knowledge base, Claude or a RAG-based setup may perform better. If you need AI embedded directly inside your CRM or project management tool, native integrations in those platforms may be more practical. During onboarding, we will tell you honestly if a different tool is a better fit for your specific workflow.
A focused custom GPT with a clear scope, a well-defined system prompt, and a tested knowledge base typically takes three to six hours of specialist time to build, test, and document. More complex GPTs with multiple knowledge files, API actions, or connected integrations take longer. Your Client Success Manager will scope the work during onboarding so you know what to expect before the first hour is logged.
Prompt library development is one of the most common standalone requests we handle. A specialist can audit your current prompts, rewrite them for consistency and reliability, and organize them into a documented library without building any custom GPTs at all. This is billed at the standard Specialist rate of $50 per hour and can be scoped as a one-time project or an ongoing engagement.
