Get a fractional Concur specialist working in your account

You already know Concur can handle your expense management and travel workflows. The problem is that keeping it configured correctly, audited consistently, and integrated with your accounting stack takes real time that you or your team do not have. Trusty Oak's fractional specialists log into your Concur account, handle the ongoing work, and document everything so nothing lives only in one person's head. This is not consulting or advice. It is someone doing the work inside your instance.

What our team does with Concur

Concrete work our fractional specialists take on inside your Concur account. No vague promises.

Configure Expense Policies and Approval Workflows

We build and maintain your expense policies inside Concur, including spend limits by category, required receipt thresholds, and multi-level approval chains. When your org structure changes or a policy needs updating, we make the edits directly in the policy configuration and test against sample submissions before pushing live. You get a documented policy map alongside every change.

Audit Submitted Expense Reports for Compliance

We run regular audits of submitted reports against your active expense policies, flagging out-of-policy claims, missing receipts, duplicate submissions, and misclassified expense types. Each audit produces a summary with specific report IDs and recommended actions, either returned to the submitter or escalated to a manager depending on your process. This keeps your audit trail clean ahead of any finance or external review.

Manage User Accounts, Roles, and Delegate Access

We handle user provisioning and deprovisioning inside Concur, including assigning the correct roles (employee, approver, expense delegate) and configuring delegate relationships for executives who need an EA submitting on their behalf. When employees onboard or leave, we update access promptly so your user list stays accurate and your data stays secure.

Build and Schedule Custom Reports in Concur Intelligence

We create custom reports using Concur Intelligence (or Cognos-based reporting, depending on your configuration) scoped to the metrics your finance team actually needs: spend by cost center, policy exception rates, category-level trending, or vendor-level analysis. Reports are scheduled for automatic delivery to the right stakeholders so your team is not manually pulling data each month.

Reconcile Concur Data Against Your ERP or Accounting System

We match approved expense report totals and corporate card transactions in Concur against your general ledger entries in QuickBooks, NetSuite, Sage Intacct, or your ERP of choice, identifying discrepancies before they become month-end problems. We document each reconciliation pass with a dated log and flag items that need a journal entry correction or a reclass. This is a repeatable monthly deliverable, not a one-time cleanup.

Migrate Legacy Expense Data and Audit Historical Records

If you are moving to Concur from another platform (Expensify, Certify, SAP, or a spreadsheet-based process), we map your existing expense categories, cost centers, and historical report data to Concur's structure and manage the import process. We also conduct a historical audit if your Concur instance has years of accumulated reports with inconsistent categorization or unapplied policy changes, producing a clean baseline your finance team can rely on going forward.

How Trusty Oak supports Concur workflows

How the Concur handoff works

During onboarding, your dedicated Client Success Manager reviews your current Concur configuration, including active policies, user roles, approval chains, connected card programs, and any reporting that is already in place. From that audit, we build a prioritized roadmap that identifies what needs immediate attention (often user access hygiene or a policy that has not been updated in years) and what can be phased in over the first 90 days. Your specialist works directly in your Concur account with credentials you control, and every change is documented in a shared log so your team always knows what was done and why. Nothing moves without your approval on the first pass, and recurring tasks are only automated once you have signed off on the process. You retain full ownership of your Concur account at every stage.

Common Concur workflows we build

A few of the most common workflows our team has deployed with Concur.

1

Corporate card transaction imported to Concur, matched to receipt, submitted for approval

When a corporate card transaction posts in Concur, we match it to the corresponding receipt in the Available Expenses queue, apply the correct expense type and cost center, add any required attendee or business purpose fields, and attach it to the appropriate report for the submitter's approval. This keeps card transactions from aging in the unmatched queue and prevents end-of-month pile-ups.

2

Monthly expense close: reports approved in Concur, extracted, posted to NetSuite

At the close of each accounting period, we confirm all submitted reports have moved through the approval chain, run the extract file from Concur, and coordinate the import into NetSuite (or your ERP) against the correct GL accounts and cost centers. Any mapping errors or rejected line items are resolved before the file is finalized so your close is not delayed by Concur data issues.

3

New employee onboarded: Concur account created, policy assigned, delegate configured

When HR signals a new hire (via your HRIS, a shared onboarding tracker, or direct notification), we create the Concur user profile, assign the correct expense policy and approver, and set up any delegate relationships if the role requires it. The employee receives a ready-to-use account on day one without your finance team handling the manual setup.

4

Out-of-policy expense flagged in audit, returned to submitter with documented reason

During our regular audit pass, out-of-policy submissions (receipts over the threshold, missing itemization on hotel folios, personal charges on a corporate card) are flagged using Concur's exception workflow, returned to the submitter with a specific written reason, and logged in a shared audit tracker your finance team can reference. This creates a documented correction record rather than an informal back-and-forth.

5

Quarterly spend report built in Concur Intelligence, delivered to finance leadership

We pull a scheduled Concur Intelligence report scoped to the prior quarter, segmented by department, cost center, and top expense categories, and deliver it as a formatted summary to your CFO or finance lead on a set date each quarter. If actuals vary significantly from prior periods, we flag the line items so leadership has context before the review meeting.

Frequently asked questions

You control what access level you grant. For most ongoing work, a Concur Expense Processor or Reporting role is sufficient, and admin access is only needed for policy configuration or user provisioning tasks. We work within whatever permissions you assign, document the credentials in your preferred password manager (1Password, LastPass, or similar), and you can revoke access at any time.
Most Concur engagements are ongoing because expense management is a recurring process: monthly closes, regular audits, user changes, and policy updates do not stop. Trusty Oak starts with a 3-month commitment at a minimum of $1,000 per month, then moves to month-to-month. If you have a defined one-time project (a migration or a historical audit), we can scope that within your monthly budget and transition to lighter maintenance hours once the project is complete.
Our specialists work in Concur, Expensify, Brex, and several other expense platforms, so we can give you an honest operational perspective on what each one requires to manage day-to-day. That said, the platform decision itself is a strategic call that lives with your finance leadership. We can help you document your requirements and flag operational considerations, but we will not push you toward a platform that is not the right fit for your company size or accounting stack.
After you complete onboarding (which includes a one-time $300 fee), your Client Success Manager typically completes the Strategic Delegation Plan within the first week. Specialist hours can begin as soon as access is granted and priorities are confirmed. Most clients have active work underway within 7 to 10 business days of signing.
Unused hours roll over each month, so a lighter month during a slow travel period does not mean you lose what you paid for. Your monthly budget is $1,000 at minimum, billed at $50 per hour for Specialist-level work, which gives you 20 hours per month to start. If your Concur workload is consistently under that, your Client Success Manager can help you identify adjacent Finance and HR tasks (payroll data prep, vendor invoice tracking, HRIS reporting) that the same specialist can absorb.
