Forms & Agreements

Get a DocuSign specialist working in your account

You already know DocuSign can handle your contracts, NDAs, and onboarding paperwork. The problem is that building it out correctly, keeping templates current, and chasing down incomplete envelopes takes time you don't have. Trusty Oak's fractional specialists work directly inside your DocuSign account to handle the setup, maintenance, and day-to-day agreement management. You stay out of the weeds while your signing process actually works.

What our team does with DocuSign

Concrete work our fractional specialists take on inside your DocuSign account. No vague promises.

Build and format reusable templates

We create DocuSign templates from your existing Word or PDF documents, placing signature fields, date fields, initials, and custom text tags in the correct positions for each signer role. Templates are named, categorized, and saved so anyone on your team can send a consistent, professional document without rebuilding it each time. We also set up conditional fields for agreements that change based on deal type or client tier.

Configure multi-signer routing and signing order

When agreements require approvals from multiple parties, we set up the correct routing order inside each template or envelope so documents move through the right sequence automatically. We configure parallel signing for situations where order doesn't matter and sequential routing where it does, and we test each flow before it goes live. This prevents the common problem of a document sitting with the wrong person while a deal stalls.

Audit and clean up existing envelope and template libraries

If your DocuSign account has accumulated duplicate templates, outdated agreements, or incorrectly tagged fields, we conduct a full audit and document what exists, what needs updating, and what should be archived. We rename and reorganize templates into logical folders by document type, department, or use case so your team can find what they need without guessing. Field placement errors and missing required fields are corrected before they cause a failed signing session.

Set up PowerForms for self-serve signing

For documents that need to go out to a high volume of recipients without manual sending, we build DocuSign PowerForms that generate a unique signing URL each time a recipient initiates the form. This is commonly used for contractor agreements, intake forms, and event waivers where you want the signer to start the process themselves. We configure the PowerForm settings, test the recipient experience, and provide you with the embed code or shareable link.

Connect DocuSign to your CRM or project management tools

We set up integrations between DocuSign and tools like Salesforce, HubSpot, or Zapier so that completed envelopes trigger downstream actions automatically. A signed contract can create a new deal stage in your CRM, notify a Slack channel, or kick off an onboarding sequence in your project management tool without anyone touching it manually. We map the data fields between systems, build and test the automation, and document the logic so it's maintainable.

Monitor envelope status and follow up on incomplete agreements

We track the status of in-flight envelopes across your account and flag documents that are past due, voided unexpectedly, or stuck with a specific signer. When a document needs a manual nudge, we send follow-up reminders or void and resend with corrected details based on your instructions. We can also configure automatic reminder and expiration settings inside DocuSign so routine follow-up happens without manual intervention.

How Trusty Oak supports DocuSign workflows

How the DocuSign handoff works

During onboarding, your dedicated Client Success Manager reviews your current DocuSign account setup, including your existing templates, envelope history, and any integrations already in place. From there, we build a Strategic Delegation Plan that prioritizes the highest-impact work first, whether that is fixing a broken signing workflow, building out a template library from scratch, or connecting DocuSign to your CRM. Your specialist works directly inside your account using access credentials you control, and every workflow, template, or integration we build is documented so you understand exactly what exists and why. You review and approve deliverables before anything goes live, and nothing is changed in your account without your knowledge.

Common DocuSign workflows we build

A few of the most common workflows our team has deployed with DocuSign.

1

Proposal accepted in HubSpot → DocuSign envelope sent → deal stage updated on signature

When a prospect accepts a proposal in HubSpot, we trigger a DocuSign envelope using the correct contract template for that deal type. Once all parties sign, the completed document is attached to the HubSpot contact record and the deal moves to the next pipeline stage automatically.

2

New contractor onboarded → NDA and service agreement sent as bundle → countersigned copy filed in Google Drive

We configure a DocuSign template bundle that sends an NDA and independent contractor agreement together in a single envelope with the correct signing order. After the contractor signs and you countersign, the completed PDFs are automatically saved to a designated Google Drive folder using a Zapier integration.

3

Lease renewal cycle → bulk send to tenants → completion tracked in Airtable

For clients managing multiple lease renewals on a recurring schedule, we use DocuSign's bulk send feature to distribute personalized renewal agreements to a list of recipients in one action. Completion status for each envelope is logged in an Airtable base so the client has a real-time view of who has signed and who needs follow-up.

4

Client intake form submitted → DocuSign service agreement triggered → onboarding project created in Asana

When a new client submits an intake form through Typeform or a similar tool, a Zapier automation sends the appropriate DocuSign service agreement based on the service tier selected. Once the agreement is fully executed, a new onboarding project is created in Asana with the signed document attached to the project.

5

Quarterly template review → field and language audit → updated versions published

On a recurring basis, we review your active DocuSign templates against your current contract language and flag any fields, clauses, or signer roles that are outdated. Updated templates are built, tested in a sandbox environment where applicable, and published to replace the prior versions so your team is always sending current documents.

Frequently asked questions

We work inside your account using the level of access you choose to grant, typically a sender or admin role depending on the tasks involved. You retain full ownership of the account and can adjust or revoke access at any time. We never store your credentials internally and recommend using DocuSign's user management settings to add our specialist as a named user.
Both options work within our model. Some clients bring us in for a focused setup engagement to build out their template library and integrations, then manage things independently afterward. Others keep a specialist on retainer for ongoing envelope monitoring, template updates, and new workflow builds as their business changes. Hours roll over month to month, so you are not penalized for lighter months.
For low-volume use, the value of DocuSign support is usually in getting the setup right the first time rather than in automation at scale. A properly built template with correct field placement and signer routing saves time and prevents errors even if you are only sending ten documents a month. If your volume is genuinely minimal, we will tell you on the discovery call whether a simpler tool like HelloSign or PandaDoc might serve you better.
Yes, correcting inherited setups is one of the more common requests we handle. We audit the existing templates for field placement errors, missing required tags, incorrect signer roles, and outdated document versions, then rebuild or correct them based on your current needs. We document what we changed and why so you have a clear record of the account's history.
After the initial onboarding call and Strategic Delegation Plan are complete, typically within the first week, your specialist can begin active work in the account. The $300 one-time onboarding fee covers the planning and matching process so that when work starts, priorities are already defined and time is not spent figuring out where to begin.
