Get a fractional specialist working in your Eventbrite account

You know what needs to happen in Eventbrite. The event pages need to be built correctly, the registration flows need to work, and the attendee data needs to go somewhere useful after the event closes. What you do not have is the time to own all of that yourself. Trusty Oak specialists work directly inside your Eventbrite account to handle setup, maintenance, and post-event follow-through so nothing falls through the cracks. This is ongoing fractional support, not a one-time fix.

What our team does with Eventbrite

Concrete work our fractional specialists take on inside your Eventbrite account. No vague promises.

Build and configure event listings from scratch

Specialists create new events inside your Eventbrite account, configure ticket types (including paid, free, donation, and capacity-limited tiers), set visibility rules, and apply your custom branding through the event page editor. Every listing is reviewed against your registration requirements before it goes live. If you have a recurring event format, we document the build so future events follow the same structure.

Manage ticket types, pricing, and capacity rules

As your event fills or your pricing strategy changes, we update ticket tiers, adjust capacity limits, enable or disable promo codes, and manage early-bird cutoffs without requiring you to log in yourself. We track changes in a shared log so you always know what was changed and when. This is especially useful for multi-session or multi-day events where ticket logic gets complicated.

Monitor registrations and handle attendee issues

We check your Attendees dashboard on a scheduled cadence, flag unusual drop-off in registrations, process refund requests through Eventbrite's order management tools, and handle manual attendee additions or transfers between ticket types. If an attendee emails you with a registration problem, we can own that resolution end to end. You stay out of the inbox unless a decision requires your input.

Audit and clean up an existing Eventbrite account

If your account has accumulated duplicate events, inconsistent ticket naming, outdated organizer profiles, or broken order confirmation emails, we conduct a full audit and document what needs to be fixed. We then work through the cleanup systematically, updating event statuses, archiving old listings, and standardizing naming conventions across your event catalog. The deliverable is a clean account and a documented baseline you can hand to anyone.

Set up order confirmation and attendee emails

We configure Eventbrite's order confirmation messages and reminder emails to include the right event details, custom instructions, and any links your attendees need before the event. For clients using Eventbrite's email tools, we also build and schedule pre-event communications to registered attendees. Every email is tested against a real registration before it goes into production.

Connect Eventbrite to your CRM, email platform, or Zapier workflows

We build integrations between Eventbrite and tools like HubSpot, Mailchimp, Salesforce, or Airtable using native integrations or Zapier, so that new registrants flow into your existing contact records automatically. This includes mapping Eventbrite fields to the correct CRM properties, tagging contacts by event attended, and triggering post-event sequences in your email platform. We document every integration so it is not a black box if something breaks.

How Trusty Oak supports Eventbrite workflows

How the Eventbrite handoff works

During onboarding, your dedicated Client Success Manager reviews your existing Eventbrite account (or your planned setup if you are starting fresh) and works with you to identify the highest-priority tasks first, whether that is cleaning up a backlog of events, building a new registration workflow, or connecting Eventbrite to your CRM. That review becomes the foundation of your Strategic Delegation Plan, which maps out what the specialist will tackle and in what order. Your specialist works directly inside your account, documents every build and change in a shared log, and checks in with you before publishing anything that is client-facing. You retain full ownership of the account at all times, and nothing is done without your visibility.

Common Eventbrite workflows we build

A few of the most common workflows our team has deployed with Eventbrite.

1

New Eventbrite registrant to HubSpot contact with event tag

When someone registers for an event, a Zapier workflow creates or updates a HubSpot contact, applies a tag for the specific event attended, and enrolls them in a post-event email sequence. This replaces manual list exports and ensures your CRM reflects attendance history without any manual entry.

2

Eventbrite order data to Airtable event tracker

We build a Zapier connection that pushes each new registration into an Airtable base with fields for ticket type, order date, and attendee contact info. Your team gets a live view of registrations without logging into Eventbrite, and the base can be filtered or shared with stakeholders who do not have account access.

3

Promo code request to Eventbrite code creation to confirmation email

When a partner or speaker submits a promo code request through a Typeform or Google Form, we receive the notification, create the discount code inside Eventbrite with the correct parameters, and reply to the requester with the code and usage instructions. This keeps the process consistent and removes you from the middle of every request.

4

Post-event attendee export to Mailchimp list segment

After an event closes, we export the attendee list from Eventbrite, clean the data, and import it into a Mailchimp audience segment labeled by event name and date. This gives your email team a clean, segmented list for post-event follow-up without relying on Eventbrite's native email tools for ongoing communication.

5

Recurring event series setup with templated ticket structure

For clients running monthly or quarterly events, we build the first event in Eventbrite with all ticket types, confirmation copy, and settings finalized, then use it as a template for future dates. Each new event in the series is created from that template, reviewed, and scheduled for publication on a set cadence so the calendar stays current without starting from scratch each time.

Frequently asked questions

You control what access level you share. Eventbrite allows you to add team members with specific roles, so you can grant organizer-level access without sharing your primary login credentials. Most clients add the specialist as a team member under their existing Eventbrite organizer account, which keeps your billing and account ownership fully in your hands.
Most of our Eventbrite clients use ongoing monthly hours because there is always something to manage: new events to build, ticket changes to make, attendee issues to resolve, or integrations to monitor. The monthly retainer starts at $1,000 and unused hours roll over, so you are not penalized during slower months. One-time projects are possible but less common for event management work.
If you are already using Eventbrite and it is working for your registration needs, we will work with what you have. If you are evaluating whether Eventbrite fits your use case versus alternatives like Cvent, Hopin, or a native CRM event module, your Client Success Manager can give you an honest read during onboarding based on your event volume, ticket complexity, and integration requirements. We do not have a financial reason to push you toward any particular platform.
After you complete onboarding, which includes a one-time $300 fee and a kickoff call to build your Strategic Delegation Plan, your specialist can typically begin work within the first week. If you have an event with a hard deadline, flag that during the onboarding call and we will prioritize accordingly.
Everything your specialist builds lives in your Eventbrite account, which you own. We also maintain documentation of every integration, workflow, and configuration in a shared file that is yours to keep. There is no proprietary system or locked-in tooling on our end, so you can hand the account to a new team member or internal hire without starting over.
