Scheduling

Hire a Google Calendar expert to manage your schedule

You know what needs to happen in your calendar. You just do not have time to set it up correctly, maintain it, or fix the recurring problems that keep piling up. Trusty Oak fractional specialists work inside your Google Calendar account, handling everything from recurring event builds and calendar permissions to cross-timezone scheduling and third-party integrations. This is hands-on calendar management, not advice about how to do it yourself.

What our team does with Google Calendar

Concrete work our fractional specialists take on inside your Google Calendar account. No vague promises.

Build and configure recurring event series

We create recurring events with the correct recurrence rules, guest lists, conferencing links (Google Meet or third-party), and notification settings. This includes setting up custom recurrence patterns that the standard UI makes tedious, such as events that repeat on the last business day of each month. Every event is documented so you know exactly what was built and why.

Manage calendar permissions and sharing settings

We audit who has access to which calendars, correct permission levels (view only, see all event details, make changes), and set up shared team calendars with the right visibility for internal versus external guests. We handle the difference between sharing a single calendar and delegating full account access, and we apply the configuration that matches your actual workflow.

Organize multiple calendars into a clean, color-coded system

We separate your calendars by function (personal, client-facing, team, out-of-office, project milestones) and apply a consistent color and naming convention. This makes it immediately obvious what type of commitment you are looking at without opening the event. We also remove or archive legacy calendars that are creating visual noise.

Integrate Google Calendar with scheduling and CRM tools

We connect Google Calendar to tools like Calendly, HubSpot, Salesforce, and Zapier so that booked meetings automatically appear in the right calendar with the right metadata. This includes mapping event types to specific calendars, configuring buffer times, and ensuring that cancellations and reschedules sync correctly in both directions.

Set up automated reminders and notification workflows

We configure event-level and calendar-level notifications, including email and popup reminders at intervals that match how you actually prepare for meetings. For clients using Google Workspace, we also set up notification rules that trigger Slack messages or task creation in project management tools when specific event conditions are met.

Audit and migrate calendar data from other platforms

We import calendar data from Outlook, Apple Calendar, or other platforms using .ics files, resolve duplicate events and timezone errors that appear during migration, and validate that recurring events transferred with the correct recurrence logic intact. After migration, we deliver a written summary of what was imported, what was corrected, and what required manual decisions.

How Trusty Oak supports Google Calendar workflows

How the Google Calendar handoff works

During onboarding, your dedicated Client Success Manager reviews your existing Google Calendar setup, including how many calendars you are managing, what integrations are active, and where the current friction points are. From that audit, we build a Strategic Delegation Plan that prioritizes the highest-impact calendar work first. Your specialist then works directly in your Google Calendar account (using delegated access, never shared passwords) and documents every configuration change so you always know what exists and how to find it. You review and approve workflows before they go live, and ongoing maintenance tasks are handled proactively rather than waiting for you to report a problem.

Common Google Calendar workflows we build

A few of the most common workflows our team has deployed with Google Calendar.

1

Calendly booking confirmed → Google Calendar event created → HubSpot contact updated

When a prospect books through Calendly, we configure the integration so a Google Calendar event is created with the meeting type, contact name, and a link to the HubSpot record in the event description. This eliminates manual CRM logging after discovery calls.

2

New project kickoff → recurring team standup series built → Slack channel linked in event

When a new project is confirmed, we create the full recurring standup series in Google Calendar, add the correct attendees, attach the agenda document link, and include the Slack channel or Google Meet link in the event body so the team has everything in one place from day one.

3

Executive travel dates entered → calendar blocks created → team notified of availability changes

We take a travel itinerary and translate it into Google Calendar blocks covering flight times, hotel check-in and check-out, and on-site commitments. We then update the executive's working hours or out-of-office settings so that scheduling tools reflect accurate availability during the travel window.

4

Client retainer start → monthly check-in series created → calendar invite sent with intake form link

When a new retainer client is onboarded, we build the recurring monthly check-in event, add the client as a guest, and include a pre-meeting intake form link in the event description so the client knows what to prepare before each call.

5

Missed or declined event → reschedule workflow triggered → follow-up task created in Asana or ClickUp

Using Zapier, we build a workflow that detects when a guest declines a Google Calendar event and automatically creates a reschedule task in your project management tool, assigned to the right team member, with the original event details and guest contact information included.

Frequently asked questions

We use Google's built-in calendar delegation feature, which lets you grant a specific Google account the ability to manage your calendar without sharing your login credentials. You control the permission level and can revoke access at any time from your Google Account settings. We never ask for passwords.
Both are possible within the same monthly plan. Some clients bring us in to fix a specific problem or build an initial system, then shift to lighter ongoing maintenance. Others have us handle active scheduling management every week. Your hours roll over month to month, so you are not penalized for lighter months.
Google Calendar works well as the central calendar layer when paired with a scheduling tool like Calendly or SavvyCal for external booking. If your primary need is managing inbound meeting requests from clients or prospects, a scheduling tool on top of Google Calendar is usually the right answer, and we can set up and manage both. If you are already committed to Outlook Calendar for organizational reasons, Google Calendar may not be the right fit, and we can discuss alternatives.
After completing onboarding, which includes a one-time $300 fee and your first call with your Client Success Manager, most clients have a specialist actively working in their account within the first week. The onboarding call is where we map your calendar priorities and decide what gets built first.
Everything we build lives in your Google Calendar account, which you own entirely. We document all configurations, integrations, and recurring event logic in a handoff document so you or another team member can maintain it independently. You are never locked into a proprietary system that disappears when the engagement ends.
