Get a Kapwing specialist working in your account this week

You already know Kapwing is the right tool for your video and podcast workflow. What you don't have is the time to sit inside the editor, subtitle every clip, resize for every platform, and keep the output consistent across your brand. Trusty Oak's fractional specialists work directly inside your Kapwing workspace, handling the production tasks that pile up between your other priorities. This is not project-based freelance work. It is ongoing, accountable support from a US-based specialist who knows the platform.

What our team does with Kapwing

Concrete work our fractional specialists take on inside your Kapwing account. No vague promises.

Build and maintain branded Kapwing templates

Your specialist sets up reusable templates inside your Kapwing workspace with locked brand colors, fonts, logo placement, and intro or outro sequences. This ensures every video your team produces starts from a consistent foundation rather than being rebuilt from scratch each time. Templates are documented so any team member can use them correctly without specialist involvement.

Edit and subtitle long-form video for distribution

Your specialist takes raw footage or podcast recordings and produces finished cuts inside Kapwing, including trimming, pacing, and auto-generated subtitle layers that are then reviewed and corrected for accuracy. Captions are styled to match your brand and exported as burned-in or as separate SRT files depending on where the content is going. Deliverables are organized in your workspace by episode, date, or campaign.

Repurpose long-form content into short-form clips

Your specialist identifies high-value moments from longer recordings and produces platform-specific short clips using Kapwing's timeline and resize tools, outputting correctly formatted versions for Instagram Reels, YouTube Shorts, TikTok, and LinkedIn. Each clip gets its own subtitle track and any required text overlays or captions. You receive a batch of ready-to-publish assets without touching the editor yourself.

Organize and audit your Kapwing workspace

Over time, Kapwing workspaces accumulate unfinished projects, duplicate assets, and inconsistently named files that make it hard to find anything or hand off work. Your specialist audits the workspace, archives or deletes stale projects, and builds a folder structure and naming convention that maps to your content calendar. A short documentation file is delivered so the system stays intact as your team grows.

Produce audiogram and video assets from podcast episodes

Your specialist takes podcast audio exports and produces branded audiogram clips inside Kapwing, selecting quote moments, adding waveform animations, and layering in episode artwork and subtitle text. These assets are sized for each social platform and exported in the correct format for scheduling. This turns a single episode into a repeatable set of promotional assets without a separate design tool or designer.

Connect Kapwing output to your publishing and storage workflow

Your specialist sets up a repeatable handoff process between Kapwing and the rest of your content stack, whether that means exporting finished files directly to a shared Google Drive or Dropbox folder, uploading to a Notion content tracker, or feeding into a Buffer or Hootsuite scheduling queue. This removes the manual download-and-upload step that breaks most video workflows. The process is documented so it runs the same way every production cycle.

How Trusty Oak supports Kapwing workflows

How the Kapwing handoff works

During onboarding, your dedicated Client Success Manager reviews your existing Kapwing workspace (if you have one), your current video production process, and your publishing goals to build a Strategic Delegation Plan specific to your content output. If you are starting fresh, we map out the template structure, folder system, and repeatable workflows before your specialist touches the editor. Your specialist works inside your own Kapwing account using access you control, and every project and file stays in your workspace. We document each workflow as it is built so you always know what was done, how it was done, and how to hand it off or scale it later. You review and approve deliverables at whatever cadence fits your production schedule.

Common Kapwing workflows we build

A few of the most common workflows our team has deployed with Kapwing.

1

Podcast episode recording to 5 social clips

Raw audio or video file lands in a shared Google Drive folder, your specialist pulls it into Kapwing, produces a full-length captioned video and five short-form clips sized for Reels, Shorts, TikTok, and LinkedIn, then exports all assets back to a designated delivery folder ready for scheduling in Buffer or Later.

2

Webinar recording to branded highlight reel

Your specialist receives a Zoom cloud recording link, imports the file into Kapwing, cuts a five-to-eight minute highlight reel with intro and outro templates applied, adds a corrected subtitle track, and delivers an MP4 and SRT file for upload to YouTube and your website.

3

New episode published to audiogram batch

Each time a new podcast episode goes live, your specialist pulls two to three quote moments, builds branded audiogram clips in Kapwing using your saved template, and delivers a set of ready-to-post assets with captions to your Notion content calendar with publish dates and copy suggestions attached.

4

Raw talking-head footage to LinkedIn video series

Your specialist takes unedited talking-head recordings, edits each into a standalone one-to-two minute LinkedIn video inside Kapwing with captions and a branded lower-third, exports in 1080p, and adds each finished file to a content tracker in Airtable or Notion tagged by topic and target publish date.

5

Legacy video content audit and reformat

Your specialist reviews existing video assets in your Kapwing workspace or a shared folder, identifies which pieces can be reformatted or repurposed for current platforms, rebuilds them with updated branding and correct aspect ratios, and delivers a prioritized list of what was updated, what was archived, and what new content gaps exist.

Frequently asked questions

Your specialist works inside your Kapwing workspace using an invite you send, and all files, projects, and exports remain in your account. You can revoke access at any time. Trusty Oak does not store your video assets or project files on any external system.
Trusty Oak is built for ongoing fractional support, not one-off projects. The initial commitment is three months, after which the engagement is month-to-month. Most clients use their Kapwing specialist on a recurring weekly or biweekly basis tied to their content calendar, with hours rolling over if a production cycle is lighter than expected.
The minimum monthly talent budget is $1,000, which at the Specialist rate of $50 per hour gives you 20 hours per month. For clients with lighter video output, those hours are often split between Kapwing production work and related tasks like content scheduling, copywriting for video descriptions, or social media coordination. Your Client Success Manager helps you allocate hours across tasks during onboarding.
Kapwing is a strong fit for teams that need collaborative, browser-based video editing with fast turnaround on social content, captioning, and repurposing. If your workflow requires heavy multi-track audio editing, Descript is often a better choice. If you are producing broadcast-quality long-form content with complex color grading or effects, Premiere or DaVinci Resolve may be more appropriate. Trusty Oak has specialists experienced across all of these tools, and your Client Success Manager can help you confirm the right fit during onboarding.
Most clients have their specialist matched and onboarded within five to seven business days of signing up. The one-time $300 onboarding fee covers the Strategic Delegation Plan session and the initial workspace audit. Your specialist can begin production work in your Kapwing account as soon as access is shared and the first batch of priorities is confirmed.
